Email is not secure. Sending confidential information via email to addresses outside the starkdd.org domain is strictly prohibited. Nevertheless, there are times when it would be advantageous to send and receive emails containing PHI. Using Outlook you are able to encrypt emails and send to recipients. Following are instructions opening and replying to encrypted emails from starkdd.org senders. | |
The first time you receive an encrypted email from a Stark DD sender, you must register for a password. You will get a message with the subject: Encrypted Email Setup from Stark County Board of DD. |
You need to register for a password. The initial email will include a link saying, Before you can receive and view this email you will need to register with a password by clicking here. |
Clicking on the link to register a password will open a portal. You are required to create a password as well as create two security questions used to reset your password. |
Passwords are entered twice to ensure they match. |
Requirements for passwords are clearly spelled out. |
Choose two security questions to answer to assist with password recovery. |
Once successfully registered, you will receive a confirmation message. |
The original encrypted email will then be sent to you. |
The body of the email contains the encrypted message as a PDF attachment. It also contains instructions to contact the sender or the SCBDD Help Desk regarding any problems. NOTE: The IT Dept will not assist recipients with personal computer issues – only problems viewing the encrypted email. |
When you click to open the attachment, a box appears asking for the password created earlier. |
The encrypted email will then open as a PDF. |
To reply to the email simply click on the Reply button. |
Enter the password again and click the Log in button. |
You will now be able to reply, which will also be encrypted. |
You will receive a notice that the reply was sent successfully. |
